Organisational Relationships

This process describes the process for adding a constituent’s relationship with an organisation. There may be various reasons why a constituent would be linked with an organisation on RE. They could be an employee, a trustee, or a volunteer for this organisation. Follow the guide below to find out how to enter these details.

Step 1

Click on the Relationships tab in the constituent’s RE record. Then, from the left hand menu, choose the option for Organisations.

Step 2

You will see a list of any existing organisational relationships. If you would like to add a new one, click New Organisational Relationship in the top left.

Step 3

Enter the business name in the Org name field and click the binocular icon on the right hand side to check for pre-existing records.

Step 4

If the organisation already exists in Raiser’s Edge, you will be presented with a list from which you can choose the most appropriate option. Double click to add the details (University of Manchester only used as an example).

Step 5

If you choose an organisation that already exists in RE, you need to be careful not to change the address details, as this will bring up a pop up box like that in the screenshot below. If you see this box, always choose the second option to change the address on this record only. Otherwise, it will change the organisation address on RE and for everyone linked to this organisation.

Step 6

Add the name of the organisation (if it does not already exist in Raiser’s Edge) and add the full business address, ensuring to add the City name all in capital letters.

Click on More (beside the country field) to open further address details.

Step 7

After clicking More, fill in the Address type, Info Source and Region with the appropriate options.

Tick Send mail to this address, unless they have opted out, or the address is incomplete.

In the Valid Dates section, ensure that the Date from field is populated with the date we learned that this address was valid. If we don’t have any address details, leave this field blank.

Click Save and Close once complete.

Step 8

From the Industry drop down list, choose the most suitable category.

Step 9

Add the nature of the constituent’s relationship with the Org in the Position field. Tick the Print box if this should be added to the address when/if mail is being sent.

Step 10

From the Profession drop down list, choose the most appropriate for the constituent.

Step 11

Ensure the Relationship and Reciprocal options are selected (e.g. it may be a Charitable Trust as the Relationship and Volunteer as the Reciprocal).

Step 12

Add the start date of this relationship in the Date from field. Just enter the month, or even just the year if that’s all you know. Leave blank if you have no information about the date.

Note that business telephone numbers for a constituent should be added in both Business and Bio 1 tabs.

Step 13

Add the organisation’s telephone numbers/email addresses in the bottom left field.

Step 14

Select Save and Close in the top left corner once you have added all the business details.
