Communigator Process

Reason: Change of columns to be updated.

There is a single re.support log in for accessing Communigator (check with Patrick Crane, David Bradley, or Barry Miller for details).

Step 1

Go to https://www.communigatormail.co.uk/ and enter the username and password.

Do not use Chrome, only use Firefox or Internet Explorer.

Step 2

From the top menu bar, select Audience and then Groups from the drop down.

Step 3

Click on External audiences on the left hand menu, followed by Contacts with Alumni confirmed opt-in.

 

Step 4

Before we export the list from the website, we need to select the option called Click to Update (towards the right of the screen).

Step 5

After updating the list, you can now go the bottom left of the screen and choose the option called Export.

Step 6

Copy the email addresses in column B (max 500 at a time).

Step 7

In RE queries go to the Communigator folder and open Communigator alumni in RE.

Paste the email addresses into the Criteria fields named Phone Number.

Export the results to I Drive: Development Services>Data>Communigator as ‘YYYYMMDD – alumni in RE.csv’.

Step 8

Run the Communigator alumni in RE query.

Then, go back to the CSV file we exported from Communigator, paste the results of the Communigator alumni in RE query into the EmailLogin column (Column B).

We also need to populate these with a T in column BN.

Step 9

Now, before uploading our CSV file, we need to run another query, to ensure we are updating any constituents who have requested no contact.

  • Go to the query named Communigator Unsubscribe Checks, also in the Communigator folder.
  • Run the query. We will input the results in the CSV file in the next step.

Step 10

After running the Communigator Unsubscribe Checks query, we need to locate the email addresses from the query results in the CSV file and update the column OptIn_External (Column BG) with F. This makes sure their opt-out of communications is reflected.

Save the spreadsheet in I:\Development Services\Data\Communigator in the format YYYYMMDD – Import.csv.

Now we can upload the file.

Step 11

On the Communigator site, take the following steps:

  1. Go to Audience then Import CSV.
  2. Click on Import new CSV.
  3. Enter a name for the file and click on Add. The file name should be entered in the following format: Alumni_Update 2017/MM/DD.

In the next screen, click Choose CSV, find the relevant file, and then click on CONTINUE at the bottom of the screen.

Step 12

In the next screen, click Select to browse for the file, and then choose Alumni Upload 2019 as the mappings template.

You will need to change the drop down in System Field for the first line from Title to <ignore>, and change any blanks in the System Field to <ignore> also.

Then click Apply.

Step 13

In the next screen, under Select Group, first select External Audience and then choose Contacts with Alumni confirmed opt-in.

Then click on Import.

Step 14

On the next screen, we should see our file at the top of the list with 100% Completed.

Step 15

Finally, ensure we add an attribute to Raiser’s Edge under the category Explicit Consent To Contact By.

Open ‘YYYYMMDD – alumni in RE.csv’ (I Drive: Development Services>Data>Communigator), copy the email addresses and then paste them into the criteria fields named Phone Number in the following queries:

Communigator – need explicit consent – personal

Communigator – need explicit consent – business

Save and close the queries.

Step 16

For Personal Email:

  • Go to RE:Admin and select Global Add Records.
  • Add a Constituent Attribute to everyone in the Communigator – need explicit consent – personal query as follows:
